Proceedings

The proceedings have been published by the American Institute of Physics (AIP). They are indexed in ADS. All participants will receive a hard-bound copy of the proceedings and free online access for one year (the cost of both is covered by the conference fee). The reference is

Submission information

The sooner the conference proceedings are produced, the more useful the are. To speed up this process we are asking all participants to submit their complete, finished paper before the conference, namely by 10 October 2008. While this is unconventional for astronomy conferences, it should reduce the total effort, as you are then "encouraged" to produce your presentation and your written contribution simultaneously. Furthermore, it means you should receive the printed proceedings in February 2009.

Instructions for writing and submitting the proceedings

The page limit for the proceedings is 7 pages for talks and 5 pages for posters, including figures and references. Your contribution must be submitted as LaTeX using the template provided by the AIP at this URL. (Note that we are using the 6x9 inch format.) For the overall layout, in particular the citation and referencing style, please follow the example in the file 6x9sample.pdf. Please include all text in a single file (don't use \input{} to spread over several files, for example). We cannot accept files submitted in Word (.doc) format. You should submit a final "camera-ready" copy, i.e. with all figures in the correct place as you would like to see them. The proceedings will be printed in colour online and in greyscale in the printed version, so please ensure that your figures are understandable in greyscale. For the PACS codes (keywords) select from this list.

Please combine your proceedings files into a single TAR file called yoursurname.tar containing the LaTeX file labelled as yoursurname.tex and the figures as PDF or PS files labelled as yoursurname_fig1.pdf, yoursurname_fig2.pdf etc. Please don't use subdirectories. Include the PDF file of the final paper labelled as yoursurname.pdf. Make sure you print a hardcopy and check that the fonts and figures are okay and that it fits into your space allocation! You must also fill out and sign the "transfer for copyright agreement form" when you submit your proceedings and fax it to the editor, Coryn Bailer-Jones, on +49 6221 528339.

You can now email your TAR file to class2008 AT mpia.de with the term "proceedings" in the subject!

If you are including figures or other material already published by other authors, you need to get permission to use this material by completing the form "Request for Permission to Reprint Published Material". If you are unsure whether you need this, please read the AIP instruction booklet and if still unsure, contact the proceedings editor at the contact email address.

The deadline for submitting the proceedings is Friday 10 October. Note that this is before the workshop! This will enable us to produce the proceedings very rapidly after the workshop, which is in everyone's interest.
